Filtering Marketo Sync of Lead Records — why this matters
Insentric gives you control over which records are synced from Marketo, so your reporting stays clean and relevant. Instead of syncing your entire database, you can create a filtered view that only includes the records that matter for your business. You can manage this setup in general settings.
This helps keep your reports accurate and your system free from clutter.
Create the "All Records" Smart List — where to start
Start by creating a Smart List in your Marketo Database to define the group of records you want to include in your Insentric sync. This list is often called your “All Records” Smart List.
Who to exclude — common examples
Exactly who you filter out depends on your own strategy, but most users choose to exclude records that fall into these groups:
- Test records used internally
- Empty or incomplete leads without email addresses
- Employees or internal team members
- Unmarketable records such as hard-bounced or unsubscribed leads
- Outdated leads with no activity for a long period
Connect the Smart List in Insentric — how to set it
Once your Smart List is ready in Marketo:
- In Insentric Admin, go to Marketo Configuration > General Settings.
- Find the field labeled All Records Smart List.
- Select your newly created Smart List from the dropdown.
- If you can’t find it, click the Refresh button on the right to reload your available lists.
- Click Submit to save your selection.
Your Marketo sync will now only include the records defined by this list.
