Setting Up Scheduled Reports - Email

This guide explains how to create scheduled email reports in Insentric to automatically share insights with selected recipients on a recurring basis. This is helpful because it ensures your teams stay updated without manual effort each time.

You can set up email reports in two ways:

  1. Dashboard Email Report: Receive a report with multiple visualizations at once.
  2. Chart Email Report: Send a report directly from a single chart view.

Follow the steps below for each method.


Create Dashboard Email Report — send multiple visualizations at once

To schedule a report for a dashboard:

  1. In the top-right corner of the Reports section of Insentric, click Settings > Alerts & Reports > + Report.

  1. Fill out the form and adjust the settings as needed.

  • Report Name: Enter a clear, descriptive name.
  • Owners: Select one or more report owners. Owners can edit and receive alerts.
  • Description: Optional. Adds context for recipients.
  • Report is active: Enable this to run the report on schedule.

Set Report Contents

  • Content Type: Choose Dashboard.
  • Select Dashboard: Pick the dashboard to include.
  • Screenshot Width: Optional. Enter width in pixels.
  • Ignore cache: Check to use real-time data instead of cached content.

Configure the Schedule

  • Schedule Type: Choose how often (daily, weekly, etc.).
  • Schedule: Pick delivery times and days.
  • Timezone: Adjust if needed.
  • Log Retention: Set how long to store logs.
  • Working Timeout: Define how long the system waits before timing out (default: 3600 seconds).

Choose Notification Method

  • Notification Method: Choose Email.
  • Email Recipients: Enter addresses separated by commas or semicolons.

Create Chart Email Report — schedule from a single chart view

To create a chart-based report:

  1. Open the chart you want to report on.
  2. Click the three-dot menu in the top-right corner:

  1. Select Manage email report > Set up an email report.

Then, fill out the form to set up the email report.

Enter Report Details

  • Report Name: Give your report a clear name.
  • Description: Optionally add a short explanation for recipients.

Set the Schedule

Scheduling dropdowns for defining frequency and time

Use the dropdowns to set how often the report runs (from minutes to months) and pick times and days. To remove unwanted times, click the x icon. Adjust the timezone as needed.

Examples:

  • Daily at 2:00 PM
  • Weekly on Tuesdays and Thursdays at 10:30 AM
  • Monthly on the 11th and 22nd at 4:30 PM

Choose Message Content

Options to embed a chart image or attach a CSV file

  • Image (PNG) embedded in email: Includes a chart snapshot in the email.
  • Formatted CSV attached in email: Attaches the chart’s data in CSV format.

Recipients can also open the chart directly in Insentric using a link included in the email.


Save and Review — finalize your report settings

When everything is ready, click Save (or Add if using the chart interface).

You can see and edit your scheduled reports any time under Settings > Alerts & Reports > Reports.
